01 · Assess and prioritise

Find the best opportunity within the selected area

Tell us the business outcome you want to improve. We’ll agree on one related functional area, investigate how work actually happens with input from the people involved, and recommend the strongest workflow to implement. We also check one primary AI environment and complete up to 30 minutes of straightforward configuration improvements where safe and appropriate.

  • Meeting 1: Discovery [60 minutes]
  • Complete your customised Workflow Detective™ AI interview(s) in your ChatGPT Business workspace
  • Nominate relevant team members for guided AI interviews (up to six people in total)
  • Review the Operational Opportunity Roadmap and confirm the workflow selected for implementation by email

Deliverables

  • Operational Opportunity Roadmap:
    Covers the selected functional area and up to five of the strongest opportunities found, with feasibility insight across process, systems, data, risk and dependencies; recommended operational levers and sequencing; and our recommended workflow for implementation.

02 · Feasibility and Design

Design the right solution for your use case

We assess process readiness, systems, access, data, integration options, risks and dependencies, then design the future workflow and decide the right mix of process, existing technology, automation, AI and human judgement. Where the selected improvement uses AI, we also design its instructions, sources, human-review points and ownership.

03 · Implement and prove it

Implement the improvement and prove it works

We put the selected workflow improvement into practice in your business, test up to three representative scenarios, resolve defects and complete one consolidated refinement round.

Your commitments

  • Arrange timely access to the relevant systems and information, either directly or through the right person on your team
  • Supply representative testing input
  • Provide one consolidated round of refinement feedback

Deliverables

  • Implemented workflow ready for use
  • Testing Record: Covers up to three representative scenarios and any defects resolved.
04 · Document and hand over

Make the new way of working visible and maintainable

We document the implemented workflow in a visual Living Workflow Map and hand over a configured AI Project to help your team keep it current.

  • Meeting 3: Training and Handover [60 minutes] — include the people who will use or maintain the new workflow

Deliverables

  • Visual Living Workflow Map [HTML]: An easy-to-follow view of the work, including responsibilities, decisions and exceptions.
  • Workflow maintenance AI Project: Set up so your team can describe an agreed change and regenerate the visual map without editing its code or rebuilding a diagram.
  • Step-by-step procedure [SOP]: Written instructions for carrying out the workflow.

Eligibility and security

An active ChatGPT Business workspace is required so guided interviews, configuration work and the maintenance AI Project sit within your organisation's managed business environment rather than a personal ChatGPT account. You will also need permission to use the relevant information and timely access to the systems, examples and people connected to the selected functional area. To own and maintain the Living Workflow Map, your organisation will also need GitHub and Vercel accounts. We’ll guide the setup and handover as part of the Sprint.

What might the implementation look like?

We design the improvement specifically for your business and the workflow we select. Examples could include:

  • Redesigned intake and triage
  • Automated tasks or status updates
  • Clearer approvals and handoffs
  • AI-assisted drafting or classification with human review
  • A more consistent onboarding flow
  • A recurring reporting or request workflow

Why is the Living Workflow Map built in HTML?

HTML makes the workflow easier to scan and understand than a dense written procedure. It clearly shows the path of the work, links, responsibilities, approvals, exceptions and the operational lever used at each step.

Why use an AI Project to maintain it?

The configured AI Project can apply simple agreed updates and regenerate the complete map while preserving its structure. It does not redesign the workflow or decide whether a change is sound.

Does the Roadmap include AI and automation opportunities?

Yes. Where relevant, it outlines potentially feasible AI and automation applications and the likely operational lever. Detailed design is completed for the one improvement selected for implementation.
